Job Summary

With significant growth in our Manchester office, this location is becoming an integral part of the business. As the office expands to approximately 60 employees, we are looking for a Legal admin assistant to join our team. This role will be central to supporting both the people and operational needs of the site

Key Responsibilities

Provide day-to-day administrative support across the litigation and pre-litigation process, helping the wider team work efficiently.
Handle incoming calls and emails, directing enquiries to the appropriate team members and responding to routine queries professionally.
Prepare legal documents and routine correspondence, including urgent typing and document production as required.
Liaise professionally with clients, courts, Counsel and external stakeholders.
Upload and maintain important documents on the case management system, ensuring records and case files are accurate, complete and up to date.
Organise filing, scanning and document archiving, ensuring information is accessible and securely maintained.
Open, distribute and manage incoming and outgoing post.
Organise meetings, conferences and appointments, attending as a note-taker where required and providing general administrative support to the team.
Support the reception function, welcoming visitors and providing a professional and friendly first point of contact.
Assist with accounts queries and other general administrative tasks as required.
Work closely with the Department Supervisor and wider team, contributing to meetings and supporting the smooth running of the department.
Ensure work is carried out in accordance with firm procedures, compliance requirements and appropriate standards of confidentiality and data accuracy.

Essential Skills & Experience

Previous experience in a Legal Administrator, Legal Secretary, Office Assistant or similar administrative role.
Excellent organisational and administrative skills, with the ability to manage a varied workload and competing priorities.
Strong written and verbal communication skills, with a professional and client-focused approach.
Confident using Microsoft Office and case management systems, with the ability to learn new systems quickly.
Excellent attention to detail and a careful, accurate approach to handling legal documents and confidential information.
Proactive and able to work independently, while also working collaboratively and supporting colleagues.
Ability to prioritise effectively, meet deadlines and remain calm when dealing with urgent or changing requirements.
Professional, friendly and confident when handling telephone enquiries, communicating with clients and welcoming visitors.
A commitment to accuracy, confidentiality and maintaining high standards in all aspects of administrative work.
